We have an immediate opening in our Los Gatos office for a full-time Administrative Services Manager who would also serve as the Company’s Health & Safety Administrator. The position will report to the CEO. The main focus of this position will be to organize and coordinate company operations and procedures to ensure organizational effectiveness, efficiency, and safe practices. The individual we are seeking is expected to be a leader in all aspects of management behavior, contribute to company planning and strategy, and demonstrate good management judgment and a strong sense of urgency.
Major Duties and Responsibilities
Manage Administrative Support Services
• Supervise, direct and coordinate administrative support services (through staff and vendors), including office administrative/clerical services, safety, security, purchasing, telecommunications and IT.
• Facilitate overall operations of offices (currently 6) and project sites by providing senior administrative support, through staff assignments or directly.
• Assure offices run efficiently and cost effectively while maintaining an uncompromising commitment to employee and community safety and environmental stewardship.
• Plan, implement, and maintain office systems, layout and equipment.
• Review and approve procurement of supplies and services. Maintain list of assets.
• Draft and implement office policies, standards and procedures.
• Address office issues with managers in timely fashion.
Supervise Administrative/Office Staff
• Ensure high performing support team in place.
• Maintain office staff by recruiting, training, and developing employees.
• Monitor office staff performance and conduct performance evaluations.
• Standardize administrative practices, processes and tools across offices and foster collaboration among administrative staff.
• Communicate and collaborate with team members to facilitate an effective and positive work environment.
• Ensure staff represent the company in positive, professional manner.
Health & Safety Administrator
• Advise management on health and safety policy issues.
• Prepare and distribute policies and procedures on health and safety issues. Update them as necessary.
• Assist employees in the execution of these policies.
• Oversee the introduction of the safety program to new employees.
• Follow up on recommendations/suggestions regarding safety.
• Perform safety inspections on as needed basis.
• Report all work related injuries. Maintain safety and accident records and compliance with OSHA regulations.
Other duties as assigned.
Qualified applicants must have a Bachelor’s degree and a minimum of seven years of work experience in office administration or administrative field and at least two as a supervisor. A background and interest in ecology is also highly desirable. Minimum requirements include proficiency in Microsoft Office applications to include Word, PowerPoint and Excel and excellent written and oral communication skills.
