Position Title: Records Clerk
Reporting Relationship: Registrar
Position Type Non-Exempt
Time Commitment: Full-time
Work Location Sunnyvale, California
Position Summary
The Records Clerk will serve as the primary staff member for the maintenance all student academic records (hard-copy and electronic) and proper archiving. The Records Clerk will work along side the Associate Registrar to ensure regulatory and Institutional policies and procedures are met.
Responsibilities
• Responsible for student academic file audits, record keeping, electronic archiving, and proper disposal of documents.
• Prepares student documents (e.g., enrollment verifications, degree verification, deficiency letters) within FERPA guidelines.
• Assist with student registration during registration period.
• Provides general operational and administrative support for the Registrar’s Office.
• Maintain student demographic information up-to-date in management system.
• Other duties as assigned by the Registrar.
Knowledge & Skill Requirement:
Experience
One to Two years office experience working in a postsecondary education environment, preferred.
Ability to maintain strict confidentiality and familiarity with laws governing student information (e.g., FERPA)
High level of attention to detail and accuracy. Ability to learn and apply policies, procedures and methods to a variety of situations.
Possess excellent customer service skills to both internal and external constituencies. Capability to complete tasks independently or with others.
Organizational skills
Ability to meet deadlines and multi-task in high-paced environment. Ability to be diligent and take initiative to follow through and maintain attention to detail.
Communication Skills
Must have excellent written and verbal communication skills. Ability and willingness to recognize and meet student needs.
Computer Skills
Strong computer skills and working knowledge of systems and software applications: e.g., Word, Excel, Adobe, Outlook etc.
Other database (e.g., management system) experience and exposure is strongly desired
Teamwork
Ability to work well with others in a collegial and productive manner.
Educational Requirements
• High School or GED equivalent
• Associate Degree, preferred
Out-of-the Ordinary Working Conditions
Flexibility with schedule and ability to work evenings and weekends as needed
